Ordering and maintenance of department office supplies.
Sorts and processing of company mail, UPS, DHL & Fed-Ex.
Maintains and updates filing systems.
Review incoming correspondence and compose responses as appropriate.
Coordinate and participate in department meetings or conference calls, maintain and report minutes of meetings.
Act as a lead within department and supervise clerical staff.
Provide input and recommendations concerning corrective actions, performance appraisals, hiring and terminations.
Update management and clerical staff schedules accordingly.
Work with management to issue disciplinary actions.
Assist with processing and administering associate leave of absences as well as time off coding.
Monitor associate FMLA files, maintain associate leave of absence progress and provide status updates to management.
Assist with posting compliance communication.
Adhere to oversight of the collective bargaining agreement(s).
Assist with employee engagement activities as needed.
Internal Controls and Compliance - Understand and adhere to Safeway's internal control procedures and accounting policies.
Process department payroll for hourly associates.
Associate Records Management - Maintain record retention of associate files.
Track and file confidential and sensitive personnel information regarding corrective actions, performance appraisals, grievances, doctor notes and/or leave of absence documents.
Reports - Run and distribute department reports and correspondence for warehouses and transportation.
Maintain attendance tracking reports for hourly associates.
Maintain training records for associates.
Track additional items/reports as directed.
Financials - Timely and accurate invoice coding, invoicing, processing, and filing.
Assist with creating an office budget.
General knowledge of accounting concepts and account reconciliation.

Experience:
Education Level:
The minimum education for this position is a High School diploma or G.

Experience Level:
3
years experience providing high level of secretarial and administrative support, preferably in a logistics environment.
Skills and Background:
Proficient in Microsoft Office:
Excel, Word, PowerPoint, Outlook Calendar, Live Meeting.
Demonstrated skills relating to composing and editing business correspondence.
Knowledge of office operations and procedures.
Some analytical ability is required to gather and summarize data for reports and to prioritize work.
Strong customer service and interpersonal skills, including the ability to maintain a strong rapport with Division Staff, Corporate Staff, Vendors and Retail Stores.
High degree of confidentiality.
Considerable experience managing multiple and high-level priorities simultaneously.
Dependable, self motivated, high focus to detail, quick learner, flexible and professional in appearance.
