Under the direct supervision of the Office Manager this position provides administrative and secretarial support for the Office Manager, Operations Manager, President and department.
In addition to typing, filing and answering phone calls, performs duties such as, obtaining supplies, coordinating direct mailings and outgoing shipments, and working on special projects.
Also, coordinates lodging for the employees, assists the Office Manager with per diem distribution and assists HR/Payroll in obtaining employee time cards.
Independent judgment is required to plan, prioritize and organize diversified workload, recommends changes in office practices or procedures.
Essential Functions:

Establishes, develops, maintains and updates filing system for the Office Manager, Operations Manager, President and the department.
Retrieves information from files when needed.
Establishes, develops, maintains and updates library of trade journals and magazines.
Sorts and distributes mail.
Opens mail for the Office Manager, Operations Manager and President.
Drafts written responses or replies by phone or e-mail when necessary.
Responds to regularly occurring requests for information Answers phones for the Office Manager, Operations Manager, President and the department.
Takes messages or fields/answers all routine and non-routine questions.
Works in cooperation with other employees to cover phones.
Provides assistance to some cash office functions including but not limited to obtaining change from the bank for the petty cash drawer, assisting with the distribution of per diem funds, and providing the second count to the cash box.
Manages the lodging for the company which includes the following tasks:
working with hotels to find corporate or fixed rates for the company, obtain lodging for our employees who are off-site, ensure employees have properly checked out of their rooms, and review the hotel's invoicing for accuracy.
Manages outgoing ground shipments via UPS or FedEx.
Assists Accounts Payable in reviewing outgoing check runs again invoicing and preparing the check run Types and designs general correspondences, memos, charts, tables, graphs, business plans, etc.
Proofreads copy for spelling, grammar and layout, making appropriate changes.
Responsible for accuracy and clarity of final copy.

Estimated Salary: $20 to $28 per hour based on qualifications.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
